How can I invite new suppliers?

This article will take you through the process of inviting new suppliers to the platform that are not currently registered.

To invite a new supplier to the platform, follow these steps:

  1. Navigate to the search bar located on the left-hand side of the screen.

  2. Type the name of the supplier you wish to invite.

  3. From the search results, select the option labeled “+ Create Supplier”.

Once you have completed the steps above, you will be prompted to provide additional information about the supplier. This information includes:

  • Supplier Name

  • Website

  • Registered Company Number

  • Industry

  • Registered Country

After entering the required details, review the information to ensure it’s accuracy.

Once you are satisfied with the information provided, select the “Next Step” button to proceed.

You will then be asked if you would like to send an invite to the supplier. Sending an invite allows the supplier to claim their profile and take responsibility for its content and assessment. If you choose to send an invite, follow these steps:

  1. Enter the contacts name.

  2. Enter the contacts email address.

  3. Ensure you have sent a primer email to the supplier.

After completing these fields, select “Add & Invite Supplier”. This action will create an unclaimed profile and send an invitation to the supplier, giving them the option to claim the profile.

If you prefer to create the profile without sending an invite, simply click “Skip Invite For Now”. This will add the supplier as an unclaimed profile without sending an invitation.

If you have chosen to “Skip Invite For Now”, you can invite the supplier to claim the profile via the supplier overview, as shown below:

Following this, you will be directed to the overview page of your new unclaimed supplier profile. From this page, you will be able to:

  • Add private notes and files.

  • Open and manage risks associated with the supplier.

  • View the “About” information you initially provided.

  • Apply labels to categorise the supplier.

  • Assign the profile to specific users.

  • Apply criticality, confidentiality, and PII (Personally Identifiable Information) tags.

This overview page serves as your central hub for managing and monitoring the unclaimed supplier profile.

After the profile has been created, if you have chosen to send an invite to the supplier, you can track the invite status in the Action Centre under “Supplier Invites”.

Once the supplier accepts the invite, you will receive a notification confirming that the supplier profile has been claimed.

You can also see that the invited organisation is no longer showing as “Unverified” in both your supplier list and in the overview of the supplier.


Supplier Bulk Invites:

If you wish to send more than 20 invites out at a time, Risk Ledger can facilitate this by sending invites out in bulk on your behalf. Contact your Customer Success Manager who will collaborate with you on invite list.

  • Your organisation still needs to send the primer email as this must come from the client so the supplier understands the request is legitimate.

  • You will need to nominate a user that the invites will be sent on behalf of.

  • You will need to compile a list of suppliers that will be invited and provide this in excel/csv format to your Customer Success Manager. This sheet should include the supplier organisation name in column A and your point of contacts email address in column B. No other information is required.

When sending a bulk invite you can send the primer emails out via a mail merge so it is sent in one go. Talk to your Customer Success Manager if you would like advice on how to complete this with your organisations chosen email tool.

Once you have decided which suppliers you would like to invite, it may be helpful to create a shared mailbox for your team eg. assurance@yourdomain.com to manage your communications with suppliers.
