What email notifications are sent to suppliers?

This article explores the different scenarios in which suppliers would be sent Risk Ledger related email notifications

Suppliers receive a range of email notifications depending on the way they, or their clients, interact with our platform. Some of these notifications are automated and some are triggered by ad hoc manual processes. Below, we’ll outline the various scenarios in which suppliers are sent email notifications.


Platform Invites

When you invite a new supplier to join the platform, they will receive the following notifications:

  1. An initial email invite

  2. A reminder email is sent 24 hours after the initial invite if it has not been accepted

  3. If the invite remains pending reminders are sent every 3 days until the invite is accepted, cancelled or expires.


Connection Requests

When you connect with a supplier in our platform, they will receive the following notifications by email:

  1. An initial notification when the connection request has been sent

  2. If the connection request remains pending reminder emails are sent:

    1. 7 days after the initial notification.

    2. 14 days after the original notification.

    3. 21 days after the original notification.

    4. 28 days after the original notification.

  3. If a client removes the connection to a supplier

  4. If the supplier has sent a connection request to a client and it is accepted or rejected


Reassessments

When a supplier is due to complete their reassessment, they will receive the following notifications:

  1. An initial email will be sent 4 weeks before the reassessment due date

  2. A secondary email will be sent 2 weeks before the reassessment due date

  3. Finally, once the reassessment is overdue 1 email notification is sent


Discussions & Remediations

When a Discussion begins with a supplier, the supplier will receive the following email notifications:

  1. An initial email will be sent to notify the supplier that a new discussion has been created

  2. If the discussion is not responded to then reminder emails are sent

    1. 5 days after original notification.

    2. 10 days after original notification.

  3. Email notifications are sent when discussions have been responded to

When a client sends a Remediation Request the supplier will receive:

  1. An email notification informing them a Remediation Request has been created


Changes to framework add-ons/sizes

Suppliers will receive the following notifications when:

  1. A client requests the supplier complete additional framework Add-on domains

  2. A client requests the supplier complete the Full-sized framework during or after initially completing the Smaller framework


Emerging Threats

Suppliers will be notified by email when:

  1. Risk Ledger publishes a new Emerging Threat to the network

  2. An Emerging Threat has yet to be responded to by them


Miscellaneous

An email notification will be sent to suppliers for the following:

  1. Answer Expiries - suppliers will be notified 30 days before one of their assessment answers expire, as well as when they expire, e.g. certificates with an expiry date.

  2. Weekly Client Summary - a summary of actions and updates from a supplier’s clients within the past week.
